Stop Winging Your Co-Packer Outreach. Send a Real RFQ.
If you're an ice cream brand, frozen dessert maker, or specialty CPG founder evaluating co-packers, you already know the problem: there's no template for this. You're sending half-formed emails, getting back wildly inconsistent quotes, and missing critical questions about overrun, allergen protocols, cold chain, and packaging specs until it's too late.
This is the Co-Packing Request for Quote (RFQ) Template that frozen dessert brands have been asking for — a fully-fillable, professionally designed Word document that captures every spec, requirement, and pricing component a co-packer needs to give you a real, comparable quote.
What's Inside
A 14-page editable Word document covering 10 critical sections:
- Submitting Brand Information — your company, contacts, distribution footprint, and growth trajectory
- Product Overview — SKU specs, recipe status, overrun %, Brix, pH, texture targets, and ingredient sourcing breakdown
- Production Requirements — batch sizes, MOQs, equipment capability checklist (batch freezers, hardening tunnels, novelty lines, variegation, extruded bars, and more)
- Packaging Requirements — pint, quart, bar, cone, and pouch formats; primary/secondary/tertiary packaging specs; date coding and traceability
- Food Safety, Allergens & Regulatory — SQF, FSSC 22000, HACCP, FDA, Organic, Kosher, GFCO certifications; Big 9 allergen matrix with dedicated line and cleaning protocol columns; cold chain and QC requirements
- Logistics & Delivery Terms — Incoterms, freight responsibility, frozen transit, FIFO, order management
- Pricing & Quote Request — itemized cost table (toll fee, ingredients, packaging, coding, storage, setup, R&D) plus volume-tier pricing schedule
- Facility Capabilities & References — facility overview, key contact roster, client references
- Terms, Timeline & Confidentiality — response deadlines, NDA toggle, confidentiality clause
- Authorization & Submission — dual signature block for brand and co-packer
Why This Template Exists
Generic co-packing RFQ templates exist for snack foods, beverages, and shelf-stable CPG — but nothing is built specifically for frozen dessert brands. This template captures the ice cream-specific details that generic templates miss: overrun targets, hardening tunnel requirements, cold chain documentation, blast freezing specs, dairy allergen protocols, and the distinction between continuous batch freezers and novelty molding lines. The kind of detail that separates a serious quote from a guess.
Who This Is For

- Frozen dessert founders preparing to scale into regional or national retail
- Sorbet, gelato, and dairy-free novelty brands evaluating co-packer fit

- Any specialty frozen CPG brand tired of email-based, ad-hoc co-packer outreach

Learn a little about Secret Creamery
We are Vegas Ice Cream
Vegas is home to so many. Each of us has a story, and our story is told through ice cream. From the locally sourced Nevada milk, to supporting local bakeries, printing companies, and more, Secret Creamery embodies what it means to be Vegas Born.
We bring that all to life with unique flavors, small-batch artisan quality, and a dedication to making the best ice cream we can.
High Quality Ingredients
Our committment to quality runs deep and is part of what we founded the company on.
We use only the highest quality ingredients, including our fruit flavors. We use a pasteurized fruit puree, not just a "flavoring." Our cheese flavors use imported cheeses, like our soft goat chevre for our Blueberry Goat Cheese flavor.
Taking Ice Cream Home
One of the hallmarks of our ice cream is not adding in additional stablizers, but that does pose a SLIGHT problem. Our ice cream tends to melt quickly.
We do ask if you want to enjoy our ice cream in the comfort of your own home, please bring insulated containers with ice bricks. We do some times have ice bricks we provide at no charge, but those are on a limited basis.
Small batches, everytime
Theres two main ways to make ice cream, either in a batch freezer, or a continuious line freezer.
While we love to nerd out about ice cream science, we use the batch freezing method. It allows us to have much better granular control over the content of the ice cream, and is generally regarded as the gold standard in ice cream manufacturing.
